Currently in Russia, the online booking system “Your ONLINE” is common. This is the integration of the online booking system "All Hotels of Russia" (All-Hotels.ru®) into the hotel’s own website. Having connected to the program, hotels are starting to provide their customers with a full online booking service, i.e. Now the client can book a room on the hotel’s website in few minutes and receive confirmation in automatic mode.

Information about the availability of rooms can be entered by the hotel employee manually or imported to the site automatically directly from the hotel management system (PMS). The fact of booking or refusal of a reservation made on the website is also automatically transmitted to the PMS.

Internet booking has a number of advantages for the hotel, namely:

- A customer who has booked a room on the hotel’s website is a direct guaranteed customer of the hotel.

- The possibility of selling at a distance of hotel services on the day of arrival, for example, before departure from the Internet cafe of the airport.

- Service brings the client to the hotel.

- The speed of booking and the relevance of information for a wide Internet audience.

- The absence of the human factor minimizes the number of errors in the hotel reservation department.

- Parallel sales on the sites of the company "All Hotels" and through its affiliate network.

General principles of online booking:

1. Search for available offers. The user on the booking system website chooses the route, dates, cost, number of people, location, and other parameters, depending on the subject of the online booking. For example, for hotel booking, the following main selection criteria are characteristic: country, city, hotel, arrival date, departure date, number of people, number and age of children.

2. Filling out the form with contact and payment information (on a number of sites information is entered in several stages). Here, the user is usually prompted to fill in the following fields: full name, telephone, e-mail, type of bank card, card number, cardholder name, secret CVV2 number (CVC2).

3. Making a payment. Usually, when a payment is made, money is first blocked on the user's card, and then, subject to confirmation of all the data, is written off.

4. Receipt of the document confirming the reservation. The client receives a document of the established sample on the successful completion of the reservation, which guarantees him the provision of services. This may be an electronic ticket, a voucher for check-in and others.

To successfully implement an Internet booking at a hotel, it is necessary to have an automated computer database, as well as a registered exit not only to the Internet, but also to specialized domains for tourism, accommodation facilities, major tour operators and agents. To implement online booking services in automatic mode, you must:

- Availability of an automated hotel management system (PMS).

- Availability of a dedicated internet line in the hotel.

Combining the hotel ACS and the Internet-booking system, the hotel and the agent have the opportunity to promptly exchange information about the free number of rooms, the hotel’s categories of rooms and services, as well as current rates, discounts, special programs for guests, etc.

On the hotel and travel business sites, you can find two types of reservations:

- True online booking - when a customer chooses, book and pay for a room on his own. For payment, the client uses a plastic card and after a few seconds receives a voucher confirming the reservation.

- Pseudo-on-line booking (also “booking on request”) - when a customer fills out an application form on the hotel’s website and sends it to the administrator. For some time, the client waits for the call of the reservation service employee to confirm the reservation.“Booking by request” is sometimes incorrectly called “online booking”. The difference between them, as between the shops of the "old" sample with the saleswoman at the counter and modern self-service supermarkets.

The approximate process of making an Internet booking is the same for everyone and includes the following steps:

1. The online booking system is embedded in the hotel website instead of the reservation form on request.

2. The system prompts you to confirm the selected set of hotel services.

3. The client enters the website of the Internet booking system and becomes acquainted with the rules of booking.

4. Next, he finds a hotel to his liking and, making sure that there are rooms available, he fills in the necessary information fields and sends the order to the system by e-mail.

5. The system automatically processes the order (except for non-standard cases) and sends a preliminary confirmation with the terms of the prepayment, and the client is entered into the waiting list.

6. After receiving the appropriate guarantees from the client, the agent gives a final confirmation of the reservation.

7. A copy of the final confirmation is sent to the hotel.

8. Then the information about the reservation is recorded in the loading schedule with the subsequent automatic change of the status of the room fund at the agent.

In the case when the hotel contains its own page on the Internet, the response to incoming requests is a function of the hotel reservation service itself. In this case, the interaction procedure is as follows.

1) The client enters the website of the Internet booking system and becomes acquainted with the rules of booking.

2) Next, he finds a hotel to his liking and, having made sure that there are vacant rooms and filling in the necessary information fields, sends the order directly to the hotel by e-mail.

3) The hotel's ACS automatically processes the order and sends a preliminary confirmation with the terms of the prepayment, and the name of the potential client is entered into the waiting list.

4) After receiving the relevant guarantees from the client, the hotel gives a final confirmation of the reservation of the room or place.

5) Booking information is recorded in the download schedule with the subsequent automatic change of the status of the number of rooms on the Internet page.

Thus, the reception service is the hallmark of the company or the main link in the structure of the hotel, forming the first impression of its image. It depends on how comfortable the guest will feel when he enters the hotel, and it will depend on whether he will return here next time or not. All this affects not only the image of the hotel, but also at the level of its loading, and consequently, on the profitability of the organization.

Booking a hotel room is a 100% guarantee of checking into a hotel of any level. You can not neglect this service, especially during the peak season. Book a hotel room can be different. You can book yourself or ask for help in the travel agency. The first method will save a significant part of the family budget, and you can also place an order via the Internet.

On the Internet, you can immediately view all available hotels in the city that have available rooms, or select the full list of hotels and try to reserve yourself the best room.

3. The main aspects of hotel reservations

The standard booking scheme, organized by the hotel or the hotel, without the involvement of third-party sites, requires the registration on the hotel website. After that, booking rooms online is available for the client. Without registration, a site visitor can only check availability for a specific date, but cannot book them.

At the choice of the hotel, one or several options of the following booking schemes are used:

The customer orders the services by completing the electronic booking form offered on the Booking.com site, or by placing a booking request via mobile services.

A reservation is deemed to have taken place after the hotel receives the reservation form or reservation application, or after prepaying via the Internet using a bank card.

In any cases, before booking, the client must fill in the required fields on the booking form or in the booking request.

The client confirms the correctness and accuracy of the information provided.

The booking process on the hotel website consists of the following basic steps:

Step 3: Verification of booking data, its total cost, current sales conditions and subsequent changes (numbers, rates, additional services) only in the case of online booking.

Step 4: Getting customer information.

Step 5: Acquaintance and acceptance of the general terms of sales and the terms of the reserved tariff.

Step 6: Confirmation of the reservation (by the client).

Step 7. Confirmation of receipt of reservation

It is obligatory for the customer to receive a booking confirmation by e-mail.

In the case of online booking, the contract details, the services booked, the prices, the terms of sale at the selected rate, with which the client has agreed, the information on after-sales service and commercial guarantees, as well as the address of the seller organization to which the client can submit claims will be indicated. .

If you cancel or change your reservation after the date of arrival at the hotel, there will be no partial or full refund. Cases of late arrival or non-appearance at the hotel must be informed in advance. Otherwise, the hotel reserves the right to cancel the reservation with full funds.

The user can cancel the hotel reservation and other services. Provided that the booking is canceled, in each specific case, penalties may be enforced depending on the conditions imposed by service providers, up to the application of the irrevocable tariff rule, under which penalties amount to one hundred percent of the payment for the reservation. 4. The main aspects of improving the reservation of hotel services

In the modern world of technology development, hotels should be fully automated and constantly monitor the emerging innovations. In order to maintain competitiveness and retain a position in the market, any hotel requires constant online booking.

Access to the network allows not only to place ads, look for business partners and monitor competitors, but also gives contact to direct customers, bypassing numerous intermediaries, which reduces the cost of services.

In this case, the weak point in effective communication with the client during his placement and reservation of rooms is the lack of feedback. In the process of booking is a confirmation of the request or rejection.

The reservation is confirmed by a special notice, which is sent by the hotel to the client, and the reservation is considered confirmed. Technically, to receive a reservation confirmation, it takes some time for the reservation notification to be received by mail or fax to the customer. Usually, the confirmation indicates all the basic details of the guest and the order (number, date, date of arrival, number of guests). Full feedback significantly increases the effectiveness of communications, because it allows both sides to overcome such a barrier as interference. Sources of interference can be language (verbal or non-verbal), differences in value attitudes, the influence of traditions and cultures on behavior, differences in the social status of hotel employees and guests.

Certain interference is always there, and some distortion of meaning occurs at every stage of the process of booking and checking in the guest. The extensive experience of employees, the continuous improvement of their qualifications, allow us to successfully avoid these interferences, or reduce their impact to a minimum. But if the interference is very strong, it will certainly lead to a strong distortion of meaning and can completely block the attempt to exchange information. For example, in a telephone or computer booking, there is a danger of a sudden termination of the reservation, and then the client, who has not received confirmation, may arrive to register and not receive a number, since there will be no empty seats.

The reservation department must constantly work with the reception service, which, if necessary, provides information on the loading of rooms at the current time. If the load report is incorrect, then managers may make the wrong decision regarding load forecasts. And when the number remains unsold, it reduces the income of the hotel.

But there are a few more difficulties that arise when organizing the work of the hotel accommodation and booking service:

1. Failures, or the complete lack of access to the website of the hotel.

2. Distorted transmission of information. Unintentional distortion occurs, as a rule, due to low professional suitability. Since the staff is the main resource for creating a service, the human factor plays a huge role in the work of the reception service. - lack of team spirit, each employee seeks to isolate himself from others,

- mutual assistance is not encouraged, each has its own goals,

- people do not trust each other and become withdrawn,

- the emergence of conflicts in the team.

To organize the effective work of the reservation service you need:

1. Creation of comfortable and profitable workplaces of personnel (full equipment with computer and office equipment, furniture, all available means of communication, etc.)

2. Constant tracking of new technologies in computer technologies and the introduction of modern reservation systems.

You must have such a computer reservation system that allows you to book and reserve hotel rooms, regardless of the client’s location in any part of the world and Internet access available. Moreover, modern reservation systems can increase the speed of information processing, which in turn attracts a greater number of customers.

3. Organization of effective communication between hotel departments.

The minimum requirement is the availability of an internal telephone network. Speaking of telephone networks, I would like to note the new opportunities that the integration of telephone and computer networks opens up. Many hotels today use a mini-PBX and private automatic telephone exchanges (PBXs).

PBX is a specialized computer in which external telephone lines are connected and from which intercom lines run.

PBXs, unlike mini-PBX, are able to serve a greater number of subscribers. Modern digital PBXs can further expand the capabilities of telephone networks. In addition to the advantages and service functions inherent to the mini-PBX, the PBX has equipment for integrating with the computer network, software, providing clients with voice mail and conference calls, etc.

In addition to the telephone network, it will be quite effective to create your own local computer network. It implies that all the automated workplaces of the hotel will unite into a local computer network having a common database, which facilitates the interaction between departments, reducing the amount of time to ensure communications, and allows you to more effectively organize the work of the entire hotel.

To create such a local computer network, you must have the following equipment at the hotel:

- personal computers and peripherals,

- network adapters for PC and network cables,

- network operating systems.

Especially important for the hotel is the introduction of an automated reservation system at the international level, full staff training and re-equipment of workplaces.

The system should provide the following tasks:

1. To provide a quick and convenient solution of everyday tasks when working with clients: booking rooms, arranging guests, pre-ordering tables and processing orders in a restaurant,

2. To provide real-time control over the state of the warehouses, the activities of the staff and the movement of finances throughout the complex,

3. To provide an individual approach to each client, taking into account his preferences and categories,

4. To ensure the maintenance of statistics and a forecasting tool for the operation of the complex, including the possibility of exchanging automation system data with accounting and financial accounting programs,

5. To provide the hotel's customers with modern communication facilities, including wireless Internet using Wi-Fi technology and long-distance / international telephone communication.

Standard complex of full automation of hotel

One of the basic concepts of any automated hotel management system is a profile — an informational record about a client, company, agent, or group, including information about previous stays and open reservations. The profile contains basic and unchanging information: the name of the client (name of the company or agent), address, language, VIP code to inform staff about the need for special services, and in addition, statistical information about staying at this hotel in the current year and in previous years. The profile also contains a list of future bookings. Moreover, a client photo can be placed in the profile. Statistical information is stored in the system and is usually displayed in read-only fields. The end user fills all the fields according to the information provided by the client, with the exception of the read-only fields. Which fields have the status of "read only" depends on the access rights of the end user.

In the modern world, no hotel can do without the use of information technology. Opportunities for hotel automation have become comprehensive, covering all business processes. They allow you to automate the work of staff (receptionist, administrators, accountants, etc.), process information and bring it into a form suitable for generating the regulated reporting required by law.

In order to increase the efficiency of the reservation department, it is necessary to install modern computers. Undoubtedly, it is costly, but the effectiveness of these investments is obvious. Here, by efficiency it should be understood, not only the actual direct economic efficiency, expressed in reducing costs. By reducing the number of manual operations (reducing staff time to perform routine operations), preventing various kinds of errors and the possibility of inaccurate or untimely accounting of services rendered, but also the effectiveness resulting from the formation of the company's image as a modern, high-tech enterprise using advanced technologies.

What is a reservation?

Booking is a way of assigning customers a room in a hotel or a holiday home upon their request. During the booking process you will need to clearly define the length of stay, the number of people for which the room is reserved, the type of room and its price.

  1. The length of stay, regardless of the type of booking, is counted on nights spent in the room.
  2. When taking into account the number of people on whom a place of residence is reserved, it should be said whether there is a child among them, since sometimes they settle for free or they are given a substantial discount.
  3. Choosing the type of room or rooms, you need to agree in advance on all the required amenities and the view from the window, which is decisive for some travelers, as they only want to see beautiful scenery.
  4. Separately, you should clarify the price of the room, which can be reduced by several percent due to a trip on a hot ticket or for some other reason.

Booking operations

Before we start figuring out how to apply for reservations, let's find out who exactly is responsible for performing such operations. So, there are three types of reservation systems that allow tourists to secure a number:

  1. The central booking system unites all hotels of the region into one network, and a tourist can simply call a toll-free telephone number to find out about the availability of rooms in several hotels at once, and then choose the most suitable one.
  2. Interstate agencies are also a link of several hotels and can easily connect a tourist or a travel agency with a suitable hotel.
  3. Booking at the hotel itself is the most common way of reserving rooms, since it does not imply the presence of a mediator and makes it possible to directly put a reservation on the desired room.

How to make a reservation?

In total there are three main types of booking requests that will allow travelers to secure a room in a hotel or a holiday home:

  1. By phone, you can reserve a room easier than ever. It will be enough to call, clarify all the necessary details and order a number for yourself. However, here you will not be able to receive any confirmation that your place of residence is secured, and besides, when booking a room in another country, there may be misunderstandings due to ignorance of the language.
  2. By e-mail, you can send a request to the desired hotel, in which you ask to reserve a certain number for yourself. However, in this case, there is a possibility that the hotel’s response service may not work quickly enough and you simply will not have time to reserve a place to stay at the right time.
  3. The online service on the site allows you to quickly find out about the availability of rooms at the hotel for a certain date, to reserve a room for yourself and immediately pay for it with a bank card. True, all this happens in automatic mode, so in such cases it will not be possible to clarify all the nuances you are interested in and there is the possibility of a technical failure in the system.

Main types of booking

In total there are three main types of reservation rooms, two of which are widely distributed in our country, and the third is still valid only abroad.

  1. Guaranteed booking assumes that the hotel room will be kept free until the client arrives to be settled. Thus, the tourist has no hard time limits, and he can not hurry to move in so as not to remain without shelter. True, if he has a force majeure, because of which he refuses the number, you will have to reimburse the costs.
  2. A non-guaranteed reservation assumes that a hotel room will be kept free only until 6:00 pm, and if by that time the client does not check in, the reservation will be automatically canceled.
  3. Double booking implies reservation of a previously reserved room. That is, if a client wants to stay in a certain hotel, and there are no places there, he can still make a reservation in the hope that those who have previously booked a room will refuse it.

Variety of guaranteed room reservation

In addition, there are several types of guaranteed reservations, each of which is widely distributed in our area:

  1. Bank transfer prepayment is carried out for a certain time before the client arrives at the hotel. It can vary from a few days to a couple of weeks depending on the hotel’s policy.
  2. Guarantees for a credit card involve the removal of a penalty for not arriving at the hotel by the appointed date without first canceling the reservation.In this case, the hotel can issue an invoice to the tourist's credit card, and after a while the bank will withdraw this amount from the credit card and transfer it to the hotel account.
  3. Making a deposit involves a certain amount of money in the cashier of the hotel. This amount can then be refunded to the customer if he cancels the reservation, or transferred if the date of arrival changes.
  4. Another type of booking involves guaranteeing the arrival of a tourist by a company, for which a contract is concluded between the hotel and the travel agency that sends its tourist there. In this case, all the costs for no-show guest falls on the agency.
  5. The use of a tourist voucher implies full payment of the room and all services by the tourist to the travel agency. In this case, the price of the room will be higher for the tourist than if he had booked a hotel room directly.

Non-guaranteed room reservation

Separately, we should mention this type of room reservation as unguaranteed, because it has a certain advantage over guaranteed reservations. After all, for this type, you do not need to make any confirmation of your reservation - to make an advance payment, call the credit card number, give any other personal data. It will be enough just to book a room for a specific name and specify the date of your reservation, and then quietly move in until 12.00 on that day. If you do not have time to arrive at the hotel by this time, the reservation automatically flies, and the hotel has the right to transfer the room to another client. But if there are no other customers, and then you arrive at the hotel, then you can easily move into the selected room.

Documentary booking confirmation

When reserving rooms by a tourist or a travel company, the hotel enters into a special agreement with them. There are several types of booking contracts:
